PT Admin Assistant

Job Summary

Southside Craft Soda is seeking an energetic part-time administrative assistant to assist our start-up with coordinating, organizing and managing accounts payables, receivables and other office related duties.

Essential Job Duties and Responsibilities

  • Input sales invoices into our Quickbooks system.

  • Send invoices to customers upon delivery of product.

  • Input inventory.

  • Ensure customer files are updated with correct information including phone, address, email and tax certificate.

  • Follow-up with customers who are behind on payments and coordinate payment options.

  • Input WIX internet sales into our quickbooks system.

  • Monitor payments and mark payments as complete when they are received.

  • Email aging report to CEO on a weekly basis.

  • Prepare payments for deposit.

  • Organize payables in neat, orderly fashion in designated areas.

  • Provide a report of payables with dates and amounts needed.

  • Communicate with suppliers and vendors, if necessary, when payments will be made.

  • Assist with inputting product and supply inventories into quickbooks

  • General office duties as needed.

Skills

  • Proven experience as an Administrative Assistant

  • Knowledge of office management systems and procedures

  • Working knowledge of office equipment, like printers and fax machines

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

  • Proficiency in Quickbooks

  • Basic knowledge of WIX payments, a plus but not necessary

  • Excellent time management skills and the ability to prioritize work
