Job Summary
Southside Craft Soda is seeking an energetic part-time administrative assistant to assist our start-up with coordinating, organizing and managing accounts payables, receivables and other office related duties.
Essential Job Duties and Responsibilities
Input sales invoices into our Quickbooks system.
Send invoices to customers upon delivery of product.
Input inventory.
Ensure customer files are updated with correct information including phone, address, email and tax certificate.
Follow-up with customers who are behind on payments and coordinate payment options.
Input WIX internet sales into our quickbooks system.
Monitor payments and mark payments as complete when they are received.
Email aging report to CEO on a weekly basis.
Prepare payments for deposit.
Organize payables in neat, orderly fashion in designated areas.
Provide a report of payables with dates and amounts needed.
Communicate with suppliers and vendors, if necessary, when payments will be made.
Assist with inputting product and supply inventories into quickbooks
General office duties as needed.
Skills
Proven experience as an Administrative Assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Proficiency in Quickbooks
Basic knowledge of WIX payments, a plus but not necessary
Excellent time management skills and the ability to prioritize work
